How to Plan Event Displays in Dubai

A good event setup starts well before the print files. These are the questions we go through with almost every customer, and answering them first saves time, money and last-minute stress.

Start with the venue

Get the floor plan, ceiling height, power points and build-up times from the venue or organiser as early as you can. Exhibition centres and hotels have their own rules on heights, materials and fire safety, and your displays must fit them. Share the stand manual with us and we’ll design within it.

Think about the photos

Your backdrop, media wall and photo booth will be photographed far more than anything else. Choose non-glare fabric over shiny vinyl, keep logos above head height and away from the edges, and make sure the lighting works for phone cameras.

Decide what you’ll reuse

If you run events regularly, invest in reusable frames such as pop-up walls, tension fabric systems and modular booths, then order fresh graphics each time. For one-off events, a custom wooden build or a simpler printed setup may be better value.

Plan for indoor or outdoor

Outdoor events in the UAE need weather-ready materials, weighted bases and shade. Wind can topple light stands and backdrops, so choose sturdier frames, add weights and avoid solid walls in exposed spots. Cooler months from October to April are the busiest, so book early.

How much does an event backdrop cost in Dubai?

It depends on the size, the frame (pop-up, tension fabric, wooden or LED), the print material and whether you need installation. A roll-up banner costs far less than a full stage backdrop or a custom booth. Send us your sizes, venue and date and we will give you a clear quote with options at different budgets.

How quickly can you produce event displays?

Roll-up banners, standees and simple backdrops can often be ready within a few working days. Custom booths, wooden builds and LED setups take longer because of fabrication. Tell us your event date as early as possible and we will confirm the timeline with your quote.

Do you install at the venue?

Yes. We deliver and install backdrops, booths and stage branding at hotels, exhibition centres, malls and outdoor venues across Dubai and the UAE, and we can dismantle everything after the event.

Can you work with exhibition centre and venue rules?

Yes. Exhibition centres and hotels have their own rules for build-up times, heights, materials and fire safety. Share the organiser’s stand manual or venue guidelines with us and we will design and build within them.

What is a step and repeat backdrop?

It is a backdrop printed with a repeating pattern of logos, usually used for red carpets, media walls and sponsor photos. The repeat means your logos appear in every photo, whatever the crop.

Can I reuse my backdrop or display for future events?

Yes. Pop-up frames, tension fabric systems, roll-ups and modular booths are designed to be reused. You can keep the frame and order new printed graphics for each event, which saves money over time.

What size should my backdrop be?

For photo walls, around 2.5 to 3 metres wide works for most groups. Stage backdrops should cover the full stage width and sit behind any screens. Share the venue floor plan or stage size and we will recommend the right dimensions.

Do you make Ramadan and National Day event setups?

Yes. We produce backdrops, entrance arches, photo walls and props for Ramadan events and UAE National Day. These are busy periods, so we recommend booking a few weeks ahead.

What file should I send for my artwork?

Send vector logos (AI, EPS or PDF) and high-resolution images. We will supply the correct template for your display, or our design team can create the artwork and share a proof before printing.
